John Snow Incorporated (JSI) is a public health research and technical assistant firm dedicated to improving the health of individuals and communities throughout the world. It manages the USAID/DELIVER PROJECT and the Supply Chain Management System (SCMS) project in the Nigeria office.

JSI is recruiting to fill the below position:

Job Title: Program Consultant
Job Location: Nigeria

Job Description:
Under the guidance of the Senior Clients Relations Advisor, the Program Consultant will perform complex and confidential administrative functions ensure that assigned executive operations flow smoothly. S/he will manage and provide direct support to the Country Director, Deputry Chiefs of Pary and the Senior Clients Relations Advisor on all administrative issues as well as manage a centralized mail and filing system for the Country Director and the Senior Clients Relations Advisor.

Key Responsibilities:
Mails and Documentation:

Enter details of all documents received into the document registry, manage all incoming and outgoing correspondence on behalf of the Country Director and DCOPs, including reports, forms, faxes, and emails.Back up documents and disseminate the information as appropriateDraft correspondence and reports as requested, record minutes of staff meetings and circulate same amongst the staff

Communication:

Collate information on project activities for proper documentation and disseminate for project close-out or transitionAssist the senior Clients Relations Advisor in identifying success stories for publicationsWrite, edit and proofread articles for publicationSupport the communications department on newsletter publicationUpdate JSI’s contact lists of staff and partners

Schedules and Meetings:

Maintain/update the Country Director’s and DCOPs’ calendars, schedule appointments and meetings and provide logistic support for workshops and training programsManage external meetings involving the Country Director, DCOPs and government counterparts and take minutes of such meetingsTrack and follow-up on the status of outstanding actions and requests on behalf of the Country Director and DCOPs as well as manage travel arrangements, travel authorizations and expense reports

Information and Contact List:

Coordinate and manage international travels and oversee hotel reservations for international stuff and obtain travel concurrence/approvalPrepare and manage contact lists of all JSI integrated offices and regularly update the state contact persons list

Others:

Perform other duties as assigned by the Country Director and the Senior Clients Relations Advisor

Requirements:

University Degree, recognized equivalent or HND3-5 years’ experience as an administrative assistant, executive assistant, program assistant or personal assistantAdministrative and secretarial skills are ESSENTIAL for this positionProficiency in work processing, PowerPoint and ExcelProficiency in secretarial skills, including grammar, spelling and proofreadingFamiliarity with operations of international NGOs is a plus but not mandatoryGood understanding of English Language with good poise and diction

Knowledge, skills and abilities:

Considerable skills in oral and written communication including ability to communicate effectively and tactfully with all levels of staff, donor representatives, collaborating agencies, individuals from diverse cultures, and the publicAbility to work independently to organize, coordinate and effectively process work assignments, while paying attention to detailInitiative and discretion in judging and managing confidential matters, materials and sensitive issuesConsiderable knowledge of office equipment, practices and procedures and a willingness to increase knowledge and update skills as requiredAbility to manage high volume work flow efficiently, manage multiple tasks simultaneously, set priorities, and manage demanding workloadAbility to anticipate the technical and administrative support required and to retrieve and obtain information from various sources
